A useful inquiry includes the asset reference, equipment model, original part number, and reason for replacement. Photograph the component’s markings and connections while following the equipment’s isolation and service procedures. If the same room contains several similar units, tie each photo and part number to its own asset. A shortened work-order description can hide differences in lamp output, sleeve length, or connector arrangement.
For quartz sleeves, record outside diameter, wall or inside diameter, overall length, and end finish. Include retaining hardware and seal information if those parts are also needed. If the sleeve is broken, identify the missing area and look for the original equipment dimensions. For lamps and ballasts, send complete labels from both components. Replacing by appearance or wattage alone can overlook electrical and mechanical requirements.
